Job Responsibilities
The Admin Clerk position at PepsiCo Cape Town is focused on financial and administrative tasks essential to the smooth operation of the finance department. The key responsibilities include:
- A&M Budget Approval & Control:
- Ensuring accurate loading of A&M Budget data on SAP.
- Creating WBS elements according to the marketing team’s naming conventions.
- Tracking and updating budgets, handling FREEZE/UNFREEZE requests, and reconciling data with the system.
- A&M Budget Tracking:
- Maintaining Excel reports to track budget spending, available funds, and committed funds.
- Assisting the marketing team with tracking spend against the plan and reconciling monthly reports with SAP.
- A&M Spend Tracking:
- Ensuring accurate and timely breakdown of A&M spend based on classifications, managing financial year-end activities, and ensuring proper accruals.
- A&M Purchase Orders:
- Issuing purchase orders with accurate pricing and ensuring all required documents are scanned onto SAP.
- Administration:
- Handling vendor relations, issuing free stock, managing vendor payments, and ensuring adherence to control procedures.
- Document Retention:
- Retaining physical and digital documents as per legal requirements and providing evidence for audits.
- Warehouse Management:
- Providing monthly reports on warehouse space utilization and managing slow-moving stock.
- Travel Claims:
- Assisting with travel-related purchase orders and payment queries.
- Monthly Reporting:
- Reconciling outstanding invoices and ensuring all monthly documentation is completed.
- Brand Management:
- Supporting marketing projects, maintaining image libraries, and assisting with marketing presentations.
- Training & Mentoring:
- Training new marketing employees on procedures and providing guidance until they are fully integrated.
- General Administration:
- Managing diaries, assisting in meetings, and supporting the marketing directors and brand team in administrative tasks.
Qualifications and Skills
To qualify for the Admin Clerk position at PepsiCo Cape Town, candidates should have:
- A minimum of 2 years of experience in a similar role.
