Job Description:
As a Personal Assistant in the Commercial department, you will be entrusted with comprehensive office management and support functions to ensure seamless business operations. This includes diary management, travel bookings, document processing, and supporting departmental meetings and reports.
Your daily tasks will support the department’s ability to deliver on objectives while ensuring compliance with company policies and adherence to safety protocols.
Requirements:
- Grade 12 / N3 Certificate
- Secretarial or Administrative Qualification (NQF Level 4)
- A valid South African Driver’s License (Code B)
- 3 to 5 years’ experience in a similar secretarial or administrative role, preferably in a corporate or mining setting
- Strong proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)
- Experience using SAP and expense reconciliation tools
- Understanding of professional service delivery and stakeholder support
- Knowledge of document control procedures and reporting mechanisms
Role Responsibility:
Health and Safety
- Adhere to all relevant health, safety, and environmental requirements
- Ensure good housekeeping and hazard identification to promote a safe workspace
- Participate in SLAMs, High Potential Hazards assessments, and ensure timely close-out of safety-related actions
Logistics and Calendar Management
- Coordinate travel, accommodation, and visa arrangements for the Commercial team
- Organize departmental visits, including external consultants and service providers
- Maintain and monitor departmental calendars
- Book meeting rooms and catering requirements
General Office Administration
- Provide support for daily administrative duties including diary and schedule management
- Order and manage stationery and consumables
- Capture meeting minutes for Heads of Department (HOD) meetings
- Assist staff with time-based administrative tasks
- Provide support for all ad-hoc administrative needs
Financial Administration
- Process SAP requisitions and place orders
- Log invoices and submit them to the Finance department
- Ensure all expense claims and financial reconciliations are accurate and submitted on time
- Support month-end financial documentation and reporting
Document Management
- Manage document control in line with company procedures
- Ensure timely filing and retrieval of documentation
- Distribute internal and external communications including memos and reports
- Assist the Commercial Manager with gathering background documents for inquiries or reviews
Monthly Reporting
- Compile and submit regular departmental reports
- Ensure accurate and timely feedback is provided to internal stakeholders
