Job Description

The Admissions Clerk will be responsible for overseeing and executing the admissions process in alignment with Life Healthcare’s procedures. The primary goal of the role is to ensure a smooth, professional, and effective patient onboarding experience while safeguarding the hospital’s financial security by securing pre-approvals and co-payments. This role is essential in maintaining a high standard of service excellence and operational efficiency within the hospital’s administration department.

Ideal Candidate

The ideal candidate for this position is someone with strong organizational skills, a passion for customer service, and a keen eye for detail. Prior experience in office administration, particularly in a private healthcare environment, will be a significant advantage. The role demands an individual who is adaptable and willing to work flexible shifts, including nights and weekends, as required by the flexi-hours system.

Role Responsibilities

  • Manage the end-to-end admission process, ensuring accuracy and compliance with Life Healthcare’s policies.
  • Collect and verify demographic information from patients following hospital procedures.
  • Obtain approval numbers within the required turnaround time to mitigate financial risks.
  • Handle co-payments, private estimates, and deposits, ensuring financial security for the hospital.
  • Develop and maintain strong relationships with patients, medical funders, doctors, and hospital staff.
  • Conduct billing checks to ensure compliance with unit financial targets.
  • Compile private estimates while managing financial risks effectively.
  • Perform front desk duties, including concierge services, switchboard management, and porter coordination as needed.
  • Ensure compliance with POPIA regulations while preparing patient folders for Scanco.
  • Adapt to shift work, including day, night, and weekend rotations, as per hospital requirements.
  • Provide excellent verbal and written communication to internal and external stakeholders.

Skills & Attributes

Technical Skills:

  • Grade 12/Matric certification (mandatory)
  • Experience in office administration and front desk customer service (preferred)
  • Computer literacy, including proficiency in Microsoft Word, Excel, and Outlook
