Road Accident Fund: Document Administrative Assistant (x2) The Road Accident Fund (RAF) is committed to providing appropriate cover to all road users within South Africa, focusing on the rehabilitation and compensation of individuals injured in motor vehicle accidents. This role contributes to the RAF’s mission by supporting the Document Management Department with daily administrative tasks.

The Administrative Assistant will be responsible for ensuring the smooth management of documents and records. This role will involve assisting in the coordination of office activities, maintaining compliance documentation, scheduling meetings, and handling sensitive documents.

Key Performance Areas

1. Compliance Administration

  • Maintain up-to-date documentation related to departmental activities.
  • Ensure compliance with internal standards and business goals.
  • Monitor policies to ensure adherence to sound internal controls.

2. Office Coordination

  • Follow up on outstanding matters and ensure all requests are responded to within set timelines.
  • Validate and verify submitted information for accurate capturing.
  • Allocate reference numbers and capture documents into systems.
  • Draft and send stakeholder letters as required.
  • Ensure the availability of office supplies and maintain registers.

3. Meeting Support

  • Arrange departmental meetings and assist with minute-taking.
  • Track outstanding meeting resolutions and manage team diaries.
  • Schedule appointments with internal and external stakeholders.

4. Document and Records Management

  • Administer records and filing processes in accordance with the RAF filing plan.
  • Maintain an up-to-date filing system and ensure the confidentiality of documents.
  • Retrieve documents when needed and ensure they reach the intended recipients.
  • Acknowledge receipt of documents, allocate file numbers, and record data into the system.

Qualifications and Experience

  • Matric/Grade 12 Certificate is required.
  • A minimum of 1 year’s experience in an administrative or similar environment.
