Introduction

Thekwini TVET College is inviting applications from suitably qualified individuals for two Part-Time Administration Clerk positions in the Engineering Studies department at the Springfield Campus. These positions will support the Trimester 2 & 3 and Semester 2 programmes for the 2025 academic year. The successful candidates will work on a part-time basis, assisting with administrative functions and student support for weekday afternoon and weekend classes.

Job Description

The Part-Time Administration Clerk will be responsible for ensuring the efficient and effective management of administrative tasks related to the part-time Engineering Studies programme. The successful candidates will be required to:

  • Perform general administrative duties related to student enrolment and academic records
  • Assist with student registration and ensure accurate data capturing on the Coltech system
  • Support the induction and orientation of new students
  • Maintain and update student attendance records
  • Capture and verify student exam entries, preliminary schedules, and year mark submissions
  • Issue examination permits and manage exam-related documentation
  • Handle student and staff queries related to administrative processes
  • Ensure compliance with TVETMIS requirements
  • Maintain high standards of confidentiality and record-keeping

Ideal Candidate

To qualify for this role, candidates must meet the following criteria:

  • Matric certificate or equivalent qualification
  • Recognized and relevant tertiary qualification (REQV13)
  • Minimum of three years of relevant administrative experience
  • Proficiency in computer applications with strong knowledge of the Coltech system
  • Strong administrative and organizational skills with a high level of accuracy
  • Excellent communication and interpersonal skills
  • Ability to work effectively under pressure and in a team environment
  • Commitment to confidentiality and professional ethics
  • Willingness to assist students with queries and concerns

Role Responsibilities

  • Student Administration: Assist with student enrolment, capturing of personal and academic details, and registration on the MIS system
  • Exam Processing: Ensure accurate and timely processing of exam entries and year mark submissions
  • Data Entry: Record student performance on Coltech and DHET mark sheets in line with TVETMIS standards
  • Record Keeping: Maintain updated attendance records for both students and staff
  • Student Support: Provide assistance to students regarding their enrolment, attendance, and academic records
  • Compliance & Confidentiality: Maintain high standards of record-keeping and ensure compliance with institutional policies

Key Responsibilities:

  • Attend to all administrative duties related to part-time programs
  • Assist with student enrolments and registration processes
  • Facilitate student induction and orientation programs
  • Ensure timely and accurate enrollment on the Management Information System (MIS)
  • Capture student year marks accurately in Coltech system and DHET mark sheets as per TVETMIS requirements
  • Process student exam entries, preliminary schedules, and year mark entries efficiently
  • Maintain accurate records of student and staff attendance
  • Issue examination permits to qualifying students
  • Assist students and staff with part-time administrative queries

Ideal Candidate

To qualify for this role, candidates should meet the following requirements:

  • Education: Matric Certificate (Grade 12) or an equivalent qualification
