Requirements

Grade 12 or equivalent qualification.

No experience required.

Knowledge

Limited range of work procedures and elementary clerical duties such as administration and data capturing.

Administration procedures relating to the specific working environment, including norms and standards.

Planning and organising.

Reporting procedures.

Basic research and information gathering.

Procurement directives and procedures.

Knowledge of statistics.

Skills

Mathematical skills.

Problem solving skills.

Organising skills.

Ability to operate computer (Microsoft Package).

Computer course or certificate from a DHET registered institution or Computer as a subject (must be indicated on CV).

Basic interpersonal relationships.

Maintaining discipline.

Formulation and editing skills.

Added Advantage

2–5 years’ experience in Patient Administration.

Diploma or degree relevant to the Admin Clerk position.

Knowledge of Hospital Information System (MEDICOM).

Professional and customer-orientated in line with Batho Pele Principles and the six ministerial priorities.

Knowledge of acts governing Patient Administration such as MEDICOM, PFMA, Patients’ Rights, Batho Pele Principles, Procedure Manual II and UPFS.

Good communication and interpersonal skills.

Positive attitude and ability to work in a team.

Note: Shift work (including public holidays and weekends) and staff rotation is compulsory.

Duties

Perform general administration duties as instructed by supervisors and Head of Department.

Submit patient files to Medical Records regularly.

Register and secure patients’ appointments and admissions.

Conduct ward census.

Transfer patients on the system.

Update known patients and patients with insufficient information.

Use ITC (Trans Union) to check patients’ financial status.

Enter ICD-10 codes.

Attend to enquiries from the public/community.

Update classifications and patient information as required.

Capture data accurately and follow billing procedures.

Capture downtime in line with Circular 11 of 2014.

Update patient information on visits and review classifications.

Adhere strictly to internal control processes.

Compile departmental statistics when required.

Attend meetings, workshops and training as delegated.

Work according to Auditor General and National Core Standards (IDEAL Hospital Framework) requirements.

Perform duties according to the job description.
